Privacy policy and security

Data protection is of a high priority for us. We are not the owner of any of your personal data. As such, we process your personal data in line with the General Data Protection Regulation (GDPR) effective as of May 25th, 2018. In the declaration below, we would like to inform you of which data we collect, use and process; how we do so and on which grounds. Finally, we also want to inform you of the rights to which you are entitled.

 

Which personal data do we collect?

Personal data means: any information relating to an identified or identifiable individual. An identifiable person is one who can be identified, directly or indirectly, in particular by reference to an identification number (e.g. social security number) or one or more factors specific to his physical, physiological, mental, economic, cultural or social identity (e.g. name and first name, date of birth, biometrics data, fingerprints, DNA…). 

By using our services, we may collect any of the following categories of personal data that you provide to us: name, gender, e-mail address, mobile or direct telephone number, physical address, VAT number if applicable, pictures or video recordings made during trainings you attend, testimonials written by you about trainings you attend.

Your name and e-mail address is what we require at a minimum to run our services. We need them to contact you about the trainings that you register for. Your telephone number can also be used to stay into contact when there is urgent information required about any training you signed up for, or to keep in touch during the training if needed for any practical reason. 

Your physical address (including country) and VAT number are required for invoicing our services to you.

For any public use on any of our websites, of any pictures, video recordings or testimonials, we always ask your explicit consent first.

 

How we collect your personal data

Personal data are collected only at the time when you register for a training, sign up for an online test or survey, sign up and/or visit any of our information events or workshops, or sign up for any of our newsletters. 

These forms of registration or sign up may happen online via our website, via an online training registration through Eventzilla, via an e-mail sent by you to request or confirm registration or attendance, or via confirming your e-mail address on paper when visiting any of our events. 

We will never purchase any personal data from third parties for any purpose, nor will we ever sell any personal data to third parties for any purpose without your explicit consent.

 

How we store, protect, process and share your personal data & on which grounds

Creative Consciousness Belgium acts as data controller for the above mentioned personal data.

To store and process the data we collect as explained above, we use an online database called Ontraport, which also serves as e-mailing system to send you registration and participant information regarding trainings you signed up for, as well as newsletters on upcoming events or trainings. Ontraport is located outside of the EU and is compliant with EU data protection requirements as stated in the GDPR regulation through explicit certification with the Privacy Shield Program. Their certification can be verified here. The Ontraport environment is secured and any personal data stored in it are only accessed by Creative Consciousness representatives, not by any third parties.

We share the Ontraport environment with Creative Consciousness Netherlands, and in the future, also Creative Consciousness South Africa will join the platform. Our Creative Consciousness Netherlands colleagues can also access the data that we store and process.

Any personal data stored by us is used for the purpose of contacting and informing you with regards to any of our trainings or events that you explicitly registered for. This includes sending you participation information and questions for practical arrangements in advance, sending you contact lists of attendees of trainings you participated in, asking you for feedback, and sending you invoices.

Some of your personal data are shared with the organization of our training venue (www.laforesta.be) when so required, for the purpose of taking care of room bookings. 

We use your e-mail address to inform you about our enterprise offers by way of our newsletters. We take care of our newsletters ourselves, no third parties are involved and your data are not shared. Your subscription to any of our newsletters can be revoked by you at any time by using the personalized subscription management page which you will find a direct link to in the bottom of any of newsletters sent. It is also possible to notify us of any request to change your subscription or unsubscribe, by sending an e-mail to info@creativeconsciousness.be. None of the personal data collected through the registration to our newsletters is sold to or shared with any third parties.

 

Cookies, tracking & other technology

Our website www.creativeconsciousness.be uses cookies for the purpose of optimal functioning of our website. It collects  some information automatically from the device you use to visit it. That information may be data such as your location, your device operating system, service provider and browser information, Internet Protocol address, websites that referred you to ours, date and time of your visit, your usage and activity while on our website and any other similar data and information that may be used to ensure optimal performance and security of the website, or in the event of cyber attacks on our information technology systems. 

Our website also makes use of Google analytics for the purpose of analyzing website performance, traffic and usage. In that capacity, Google serves as a data processor and it follows that we have a data processing agreement with them to ensure safe handling of any data captured. Google is also certified with the Privacy Shield Program, which can be verified here. We do not share any of your data with Google to optimize their products and services, collect data for bench marking, solve technical problems or improve their marketing. IP addresses are anonymized as soon as it is technically feasible (without disrupting website functions and prior to any storing or processing activities).

When we send you training information or newsletters or any other communication from our Ontraport database and emailing system directly to your e-mail address, information is automatically logged and stored about if and when our e-mail was received and opened, and which links in the e-mail were clicked. This information is only used to analyze and optimize our services, in terms of measuring effectiveness of our communication and making the content more interesting for you as recipient.

Privacy policy updates

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.

Your rights

You have the right to access any personal data relating to you at any time. We will make them available upon your request by e-mail to info@creativeconsciousness.be.

You have the right to request us to complete or change any personal data, and you have the right to request us to delete your data from our database (‘right to be forgotten’). You can do so by sending us a request by e-mail to info@creativeconsciousness.be. We store your personal data as long as you do not request to us to delete them from our database.
